Hi, and welcome to the Scary Girls Club podcast. I'm your host, Zel Robertson, and today I wanna talk through [00:01:00] a four step, four part, four phase. Super fun and super. Easy and creative and intuitive planning process. Now, if planning and the word planning feels a bit like, ugh, I can feel like restrictive.
Let's just ignore the word planning. Okay? Let's just call it like creating something magical in the world. Now, this is a process that I. Used for loads of things and I used it last weekend or in the lead up to last weekend, which was my 40th birthday. I'm in my forties now and I am loving being in my forties.
They're so good. So far, so good. I'm just loving it all and I wanted to plan like. Initially when I'd thought like what I'd be doing for my forties, I was imagining having this like big [00:02:00] carry and it would be like wild and like this big party and I'm in my third trimester of being pregnant. So the whole year I guess I've been like, if I'm still like, because I've had miscarriages before, it's like, okay, I'll just, you know, see how it goes.
Like I don't wanna plan anything. I don't know where I'll be, will I be pregnant? Will everything be okay? Or will it, maybe not. And like I didn't wanna plan anything. Until near the time. And then near the time it was so easy to just be like, oh, do you know what I'll just do, like, I'll just do something next year and I think I will have some big party or something next year.
Like that would be really fun. But it was so easy to be like, oh, I'll just not do anything. And then I actually, like, I just checked in with my intuition and, and was like, no, I do wanna do something. I was just imagining, okay, what would be. Amazing. What would feel so fun and would just be like, oh, this is exactly what, like my [00:03:00] heart and my soul and my mind and body and just all of that needed and needs.
That's where I started from and I wanna talk you through, 'cause the way that I planned it all. So I had, I had like a day of family stuff, which was super amazing. We got up like the local hill and. My son walked like up in the steep way. I was like, oh, I'll be quicker 'cause it's more direct and forgot how steep it is.
And he's just turned three. He did so amazing. And then at the top there was this massive, massive puddle and it was so fun. He was just kicking water and our dog was like jumping up and trying to catch the water. He had his like foot waterproofs on while he. Yeah, and Luke and I were just hanging out at the trig point and Luke had brought up a bottle of non elk fizz.
We were just having that and like toasting and cheersing and just like watching our son playing with our dog and just being, just being like, he's amazing because he just keeps going and even though he was tired and was [00:04:00] stopping for like rest and snacks. And we gave him a night. It was like, you know, we can always turn around.
Like it's all good. Like, he's like, no, I wanna keep going. I wanna keep going. And it's just amazing watching that resilience of him, of like, even though it's hard, he knows that he wants to get to the top and how amazing it's gonna feel. And he just, his little face, like that smile when he was just like, just that intrinsic motivation of he felt so good and something we're so mindful of is praising.
I'm getting into like parenting techniques and how, and it works for us as humans as well, but like praising the process and the determination and the keeping going, not necessarily the end result because if he decided to turn and go back, like that would've been okay too. It's like listening to his body and like he kept going, but it's praising like the effort and the process and the journey and then getting there.
Just watching him feel that himself, that pride and that satisfaction without us being like. Well done. You got to the top, it's like the getting [00:05:00] to the top was the cherry on top, as it were, but it was just watching his little face. It's like, oh, it was just so amazing. And then just had the most amazing day and Oh, anyway.
And then, yeah, just I, I didn't know whether I was gonna get in. I was gonna get into the planning process. Then all of these like reflections have come up, but just feeling so lucky and so just like allowing myself to just. Breathe in and feel the love and the gratitude and just the, it being exactly where I was in that moment with the people I wanted to be with.
I was just like, oh, this is just amazing. And so, and then the, the day after my birthday, I wanted to plan something, something that was low key enough, and also that if I decided I wanted to change, my mind was like. I can't do this. I'm so tired. Or I wanna do something differently, like I could easily cancel it.
[00:06:00] Like I didn't want load of people like traveling or anything rearranging of plans. And so I had some gal pals around for some yoga and some lunch and some crafting, which was amazing. And I just, I just imagined, okay, what would I, what would I love, like at this stage in pregnancy and for. My birthday, it was like, I would love like a mini retreat, like something that feels really nourishing, really creative, a bit of like movement, a bit of like really connecting, but also that I don't have to go with anywhere.
So it was like people can come to me. Hi, is this, this is great. So that was the, the idea and the vision I had. And then in terms of the planning of it, and this is the process I wanna talk you through 'cause I think it like you. You might find, I just thought it'd be useful of like how I actually went about planning it and you, how you can do this as well in a way that's just gonna feel really fun.
It's not like, oh, I have to [00:07:00] plan. So the, I mean, the first thing with all of this was I took myself away to a cafe and it was so nice. Just like I had a change of scene. I had maybe an hour and a half, an hour, hour and a half or something in the morning. Went and got a really nice decaf coat, flat white.
Sat there, had headphones in with some like relaxing tunes on. Had my rose quartz and amethyst crystals like in my hands to like hold. And these are just so symbolic because the rose quartz makes me think of like love and like connection. So when I hold that, like it really helps me. Like open my heart and just remind myself of like connecting and love and like presence.
And then the purple is like intuition. So it reminds me to just listen to my body and trust and not be like, this is what I should be doing, but it's like, what is it I actually want? So having these, I guess two like symbolic crystals [00:08:00] and just like holding them and just having really nice tunes on really nice coffee brought to me a lovely space.
There were twinkly lights 'cause it's that time of year and. So before doing any of this, any planning, go somewhere super nice and fun. Step away. Like I had my laptop but I didn't start with it. Have it closed. Go to like a cafe. Go to like a nice bit of your house or if it's like something work-wise, a nice, I dunno.
Somewhere in your office or whatever it is. Or just go to the cafe, go somewhere nice. Somewhere that like feels a bit different, feels a bit creative. Someone's gonna bring you a nice hot drink. You don't need to like feed yourself or get up or anything. It's like the drinks will be brought to you and you can just step away and have like a different environment and bring either a piece of paper or a notebook.
I brought my notebook. I love these notebooks so much. I get them for all my clients. They're um, what's the brand? Ding Bats. They're literally so good. And this one, I like the ones with dots. I'm just gonna go in, I [00:09:00] didn't think I'd be getting into this, but you want all the stuff. Here we go. Dos, oh my goodness.
Like a blank page. I, I do quite like a blank page, but sometimes I can like write a bit big or I, it feels like. I can use up too much of the space. I do quite like blank page lines. I feel totally restricted by lines. Do you ever feel that? Where, I remember that even from like, it reminds me of like jotters at school and like practicing writing and like being like, you have to stay in the lines and it's like, oh, I'm gonna wanna do mind maps and draw things and like.
Just like have everything mapped out. Lines feel really restrictive and I do like a blank page for that. The dots, you get the best of both 'cause you can like do lots of sketching out. If you're listening to this on audio, you're like, what are you talking about? Anyway, I'm showing you the pages of my notebook and I love dots because it's like you can write and it can keep them nice and neat and you can like get all your, you know, you can have your writing this and lined up if that's what you wanna write, or you can scribble and just do whatever and let your mind [00:10:00] go.
I digress. I'm coming back to, to when I was like, Ooh, I'm just gonna hop on and like, record this podcast now. 'cause I had the idea a few days ago and I'd like written out the four things and the four steps and then was like, it's gonna be a super short one. I'm literally just like so excited. I, it's, it is all good.
Okay. So taking yourself somewhere nice, having bits around you that like make you feel. That remind you of like what it is you're creating. So say this is like a personal example I'm giving, but like say it's something for work or project you're working on or your business like whatever that is, have something that connects you to that higher purpose, that higher vision, that higher.
Like why are you doing what you're doing? What is the intention behind it? Having physical things to like hold in your hands or remind you of that I find really powerful 'cause it like. Music that helps lift you and you feel like connected to something bigger just helps tap into the ideas and helps just [00:11:00] make it somewhere more powerful as well.
Okay, so you've got yourself somewhere nice. This is the like the setup. You've got a nice notebook or a blank piece of paper. You've got maybe your laptop, but it's tucked away for now. You don't need it out yet. Okay. The first thing, so I'm gonna give the example with creating my birthday party anyway.
40th birthday party. The first thing you wanna do, the first step is to go to the place where you're imagining that it's already happened or it's happening like you're living it in the moment. So that can be closing your eyes, taking some deep breaths, and like getting a visual, like playing almost a movie in your mind, staring out the window and doing the same and just really like.
It's not the bits. So this is a different way of, of a lot of people when they plan, they're like, here are all the things I need to do. We will get to that. But not yet the first step for really potent planning and like creating something that actually is what you want, [00:12:00] whether this is work or private or private work or personal.
Is actually imagining what it is that you're, you're working towards. Like what is the outcome? What does it look like when it's done? What does it look like when it's finished? What does it look like when you're living it? So for me, I was imagining in my head, like going through the day of people are arriving, they walk in, this is what it looks like when they walk in.
Then we go and do this, and they have a glass of fizz. Okay? So the glasses of fizz will be later here. Anyway, so I was walking, like imagining it in my mind. Step one, step two, although these are kind of similar, they're kind of like joined up together, is writing it out. So having, again, having your notebook, having like a piece of paper, writing it out and when the key thing with writing it out is it's not, I will do this thing or like, then we will do this.
It's not like some future, it's either writing it in the present tense, like people are arriving and they're walking in [00:13:00] and then we're doing this and then. We do this and then it looks, and when they walk in, it looks like this, or it's past tense. People walked in, this is for my birthday, for example.
People walked in, it looked like this, then we went and did this. So either doing it in the present tense, so if you're doing it in the moment, I think that's how I wrote it out actually. I do recommend also writing stuff in the past tense, like when. I'm doing goal stuff and manifestation and like all that with my clients.
Hang on, lemme see if I've got my scribbles. I think it was present. I think the thing is, whether it's present or past, it doesn't really matter. The key thing is it's not something that's happening in the future. You're going to the place where like it's already happened. Where are my scribbles? Oh, who knows?
Somewhere in here I have so many scribbles. This is probably not, oh, here we go.
Yeah, so even like [00:14:00] this is, this is the start of it. Okay. I was doing it in present tense. It's like people are arriving and it's so amazing to welcome them in the house. Looks and smells, a mix of Christmasy, twinkly, cozy, and also luxurious. Lots of fairy lights including on the table. With garlands and bunting around the table is all set with branches and candles and tea lights, nature inside and joy and lightness and brightness.
Everyone has a glass of fizz on arriving and hangs it in the kitchen and has nibbles and crisp. So it's like I'm kind of imagining what people are doing and also what the vibe is gonna be like and the like setting the scene of it and I'm just writing it out, just like, oh, this is what's happening. Okay, so that is step two.
One is like. Imagining in your mind these could be the same, step one and two are kind of the same, imagining it and then actually writing out in the present tense or in the past tense, what has, like what the thing is, what has happened, what is actually going on the third, so as you're writing it [00:15:00] out, have another part of your paper.
This is what I did. I had like the other page, so I was writing it on one page and then I had the page next to it, like I made a little like box area in it. Write down anything that you might need to do or that you might need to buy, or that you might need to borrow or whatever. I mean, it depends what you're actually doing, but like if it's something like a business project or work project, whatever that is, all the people that you might need to contact or it's like, oh, I'll need to let them know about this thing.
All the things you might need to do or prep, or whatever the things are like as you're writing it out, that stuff's gonna come to you. So even, for example, it's like. People are walking in and there's, you know, fairy lights and it's like, so I made on the list, okay, I need actually to get more, some more fairy lights, ones that I can put on the table, ones that I can put around the table, ones that I can put in the bit that we're doing yoga.
It's like, okay, so need to get some fairy lights. And then they walk in, there's like branches and like reindeer, lichen and [00:16:00] cones and garlands, like bits of, um, branches. And it's like, okay, well. I need to go and forage, move porage for this in the woods, take them back and dry them out. So it's like, okay, that's a thing to do.
So I almost like split into a list of, okay, these are the things I need to like buy or get. And then it was like, oh, there's this many people. Okay, I need to get, do we have enough plates? Maybe not. Okay, I'll borrow some from my folks. Okay. What? And like just having, as you go through it, just having somewhere that you can just dump, like, these are the things I need to do by.
Create people to mention to whatever the things are. Just like any of that. Just like dump it somewhere else. You don't need to organize it right now, but you just like have it somewhere. So first step, imagining it's done. You're taking yourself to the place where it's already there, it's already happening.
It's happening in real time, or you're thinking about it in past tense. That's the first bit. Step two, writing it out. Just like imagining it, just like, oh, and then this, like when you're writing it out, it's the feelings. It's what you're seeing. It's what other people are [00:17:00] experiencing. It's what the vibe is.
It's really getting into that place where you're like, ah, this is so amazing, this thing. I'm like, this is what it feels like for other people. This is what it feels like for me. This is how it works. And the step three is, as you're going through. Having a list or somewhere to like drop stuff. And again, I recommend just doing all of this on paper, like not getting onto your laptop, not getting into anything like techy just yet, but like writing down, okay, what do I need to do?
Where's, what do I need to get? Like just dumping all the stuff that we'll need done somewhere else as you keep writing it through. And then the final step is taking all the stuff that you've like. Dumped out. So the to dos, to buys, to borrows, to organize whatever like those bits are and put it into a spreadsheet or a project plan or your calendar, whatever works for you.
For me, I just had a Google doc and literally everything to buy, I just put in like one place. It's like, okay, [00:18:00] cool. And then I went through, was like, this is what we're eating. Pick the recipes, put in all the food, was like, right, this is what I need to buy. And then. Everything to do. I just put in order or No, no, I, I put it in the spreadsheet first of all.
Then I was thinking, okay, what, like then it was working back, so, okay, what are the things that we would do? And, and also like for my birthday, I didn't wanna. Be doing lots of stuff the day before, which was my actual birthday before the party. So it was making sure that I didn't have really anything to do that day.
Everything was done Friday or earlier in the week, so it was like, right, okay, well what's done Friday? What are the final bits to do? It was like, okay, maybe it's like organizing these things. Is there anything in the morning to do? Write these bits. I can do. Okay, what happens earlier in the week? I need to go pick up plates for my folks.
Right? What days are they around? What days am I run? I could do that. Okay. It's this day, text them. So it's like if these makes them, by the way, I'm gonna come around and pick this stuff up on Wednesday. Okay, cool. Okay. What else do I wanna do? Oh, I [00:19:00] need to order some bread and a cake, right? When can I do that?
Okay, I can do that on this day. Pick it up on this day. So it's just like once you know the things to do, then you can start to put them in some kind of logical order of like. For example, hoovering and mopping could be done a few days before. Like it doesn't need to be done like the morning of putting out branches in different places.
That could be done in the morning of setting the table. Okay. That could be done the day of. So it was just, the final piece is just then putting everything in a spreadsheet and then organizing it in the spreadsheet and then you just go through. And the way I do things, and this is something like Luke and I've done even from expedition days, is.
Color coding when something's done. So if we have like a shared spreadsheet, it's like orange is in progress, it's been started or we have the thing, or we have the thing, but it's not been set up. So like, or green is, we have the thing and it's already done. Red is like not started. Or just like leaving it white so you can color code it.
So you [00:20:00] know, a glance, okay, these are the still to do. Then it's like, is there any I can delegate? And I was like, okay. Lifting in the, uh, spare table. Lifting in the chairs. Hovering and mopping. was like, okay, Luke and my son could do that. They can do those. I can do the table decorations and all that kinda stuff as well.
So anyway, I hope that was helpful. I just thought I'd give you, so I guess thinking about this for you, is there something, I mean you could use this for like literally anything. It could be personal, it could be work, whatever it is. I'm just going through these four steps of like imagining it's done. What is it looking like?
Really feeling it, writing it out, what it's like, and then thinking as you're writing it out, it's like, okay, what are all the bits that created that? And those ideas will just come and you can add to it. Like other stuff might come as you're imagining or like in the days after. And then organize that into.
This happens, then this [00:21:00] happens, then this happens. Or like, what's dependent on this? I can't do this until I have this. And then you can just kinda like organize things around. And then you have something that's in order of like, okay. And I even put in days, it was like, right, today's Tuesday, what was I gonna do on Tuesday?
Right? I was gonna go do this, text this thing, go and do that. Okay, Wednesday, what were we gonna do? Pick up the plates. Cool. Okay, Thursday, what am I gonna do? And just, and I think having that, and when you start putting days in it, you can either then put it in your calendar, I didn't for this because. I, I loosely knew when I was gonna do stuff, but if it's something work related, you can then take that and put it in your calendar and be like, right, these are the things I'm doing on these days and I know that I'll be able to do these 'cause I've done the things before them.
Then I'll be able to do this because I've done these and everything will just go. And then that will create that outcome you want. And it was amazing. Like literally everything on Sunday was exactly as I'd imagined or better. It was just. 'cause I'd already seen it in my mind. I'd [00:22:00] seen it in my mind. I'd allowed myself to then give myself space to map out what was needing to happen, but in a really playful and fun way.
Just doing it in my notebook, then putting in a spreadsheet, and then it was, it was so handy. Like even having the spreadsheet as I was going and getting the food, it's like I could just tick off. Got the carrots, got this, got the cheeseboard. I dunno, like going through and actually using that then as a list as well to take it off and be like, and then everything's in one place.
It's organized. You know what you're creating. You've seen it in your mind and then it just all comes together and it was just like, oh, this is why I've imagined. And I hadn't like forgotten any bits. I hadn't, nothing was rushed. Everything apart from maybe I hadn't totally planned in how long making salads would take.
Luckily I had some friends to help, but, um. So maybe there was some extra little bits of thinking about that, but like everything else was, was just like, go this, then this, then this. So yeah.
